- The Partner is a registered youth work organisation. Collaborative projects between youth work organisations and other types of organisations are welcome but the lead agency should be a registered youth work organisation or a charitable or public organisation which delivers youth work (“A planned programme of education designed for the purpose of enhancing the personal and social development of young people through their voluntary involvement, and which is complementary to their formal, academic or vocational education and training”, Youth Work Act 2001).

Participation in an action research project
- The Partner will participate in an action research project and support two young people to play a more active role in this (e.g. interviewing peers, documenting project work, etc.).
Project plan and delivery
- The partnership projects will be completed by 30.09.22.
- The Partner will subsequently provide a detailed breakdown of expenditure which will be approved by NYCI in writing before the Partner spends any of the payment.
- The STEAM project will have significant science, engineering or maths components and art or technology.
- Should Covid-19 public health measures prevent the delivery of the project as planned, the Partner and NYCI will agree an alternative project plan. Any changes to the project plan will be agreed by the Partner and NYCI and confirmed in writing.
Monitoring, evaluation and reporting
- The Partner will submit a final project report to NYCI within two weeks of the agreed project end date. This report will describe, for example: the engagement of young people and the benefits for them; the impact on youth workers’ and organisational practice; plans for follow-up projects; how the partnership payment was spent (and include supporting documentation such as invoices and receipts). NYCI will provide an accessible tool which the Partner will use to submit the report.
- The Partner will be required to complete a separate evaluation survey at some point within two years of project completion.
- The Partner will evaluate the impact of the project on young participants through any existing organisational evaluation tools or NYCI tools (e.g. Capturing Magic or Skills Summary). The Partner will obtain the required consent to share data and findings with NYCI for the overall evaluation of the STEAM in Youth Work project (in compliance with GDPR).
- Projects will be documented with photographs and/or other media (e.g. audio, video or film). The Partner will obtain the required consent to share such media with NYCI.
- The Partner consents to NYCI using above mentioned data and media in external and internal reports, publications, promotional material and best practice case studies relating to the project. The Partner also consents to NYCI sharing such data and media with any researchers/consultants contracted to support the evaluation of the overall STEAM in Youth Work project. Where such data or media is used for external purposes it will be anonymised unless additional consent is acquired by NYCI.
Partnership payments
- A partnership payment of up to €2,500 will be provided to contribute towards the costs of the STEAM projects that the Partner has proposed. Expenses that could be covered include: equipment & materials (capital costs are not covered), field trips to STEAM museums, galleries and festivals, expert support from local STEAM practitioners and so on. This list is non-exhaustive but any costs will be pre-agreed with NYCI in writing.
- A Partnership Agreement will be developed and signed by the Partner and NYCI by 28.03.22.
- An initial invoice for 70% of the payment will be sent to Katrin@nyci.ie by 31.03.22. Payments will be transferred to the bank account of a registered youth work organisation.
- The final 30% instalment of the payment will be paid on successful completion of the project, once NYCI has received and approved the final project report (which will include a breakdown of income and expenditure and supporting proof of expenditure such as invoices and receipts). The Partner will submit the final project report to NYCI within two weeks of project completion and by no later than 14.10.22. The Partner will submit an invoice for the final 30% of the project payment within three weeks of project completion and by no later than 21.10.22. The Partner is aware that NYCI has the right to withhold the final payment if the final project report is not completed satisfactorily, with sufficient supporting evaluation evidence and evidence of expenditure. NYCI will only reimburse costs that have been agreed in writing and which relate to the STEAM project proposed through the application form (unless an alternative project has been agreed between the Partner and NYCI and confirmed in writing).
- NYCI has the right to reallocate the payment to another organisation if invoices for partnership payments are not provided by the Partner on time.
- Unaccounted for expenditure, unspent funds, or funds spent on activities other than those agreed between the Partner and NYCI will be returned to NYCI by 31.10.22.
- Any resources contributed to the project by the Partner, whether in cash or in-kind (e.g. youth workers’ time, administration time, venue costs, refreshments) will also be detailed in the final project report as in-kind support or matched funding.
Participation in STEAM capacity development supports
- A representative of the Partner’s organisation will take part in at least one other continuous professional development opportunity provided (e.g. peer-learning seminars, STEAM School 2022 or ‘Embedding STEAM in your organisation’ – CPD programme for leaders and managers).
- A range of other capacity development supports, resources, trainings, events, equipment giveaways and showcasing opportunities will be offered through NYCI’s STEAM in Youth Work project, which the Partner will be welcomed to.
Communication between the Partner and NYCI
- A representative from the Partner’s organisation will attend key partnership meetings including an initial partnership meeting on 22.03.22 and three peer-learning meetings (dates tbc).
- The Partner will communicate with NYCI and notify NYCI of any significant changes or issues in the project and in response to a specific request from NYCI.
- The Partner will provide NYCI with their organisation’s tax number and send NYCI their Tax Clearance Certificate (if requested).
Child safeguarding
- Projects will be undertaken in compliance with the Partner organisation’s Child Welfare Policy/ Safeguarding Statement and legislation.
- Projects will be undertaken with regard to NYCI’s Guidelines on Working Safely in a Youth Club.
Publicity and communications
- The Partner will acknowledge the partnership with NYCI and the support of SFI and Leargas in any publicity, promotional material, media, products produced etc. related to the project by including NYCI, SFI and Leargas logos and tagging NYCI, SFI and Leargas in relevant social media (Twitter: @NYCInews, @scienceirel, @Leargas; Facebook: @NationalYouthCouncil, @ScienceFoundationIreland, @Leargas.Ireland; Instagram: @nyci.ie, @scienceireland, @leargas.ireland).
Intellectual Property Rights
- The Partner and NYCI will ensure that all products developed within the framework of this partnership are subject to the provisions of national laws regarding intellectual property.
- Background Intellectual Property will remain the property of the Partner introducing same.
- The result of the joint activities covered by this agreement concerning reports, documents, studies, electronic data and other products, be they disseminated free of charge or commercially, are the joint property of the Partners.
